  • What is the cause and solution for SAP error message HRPAO_TIMEDATA030 - End date of absence record automatically changed to &3 ?

The SAP error message HRPAO_TIMEDATA030 indicates that the end date of an absence record has been automatically changed to a specific date (represented by &3). This typically occurs in the context of managing employee absences in the SAP Human Capital Management (HCM) module.

    Cause:

The error message is triggered when the system detects that the end date of an absence record conflicts with the defined rules or configurations in the system. Common causes include:

    1. Absence Quota Limitations: The absence record may exceed the available quota for the type of absence being recorded (e.g., vacation, sick leave).
    2. Configuration Settings: The system may have specific settings that dictate how long an absence can last, which may not align with the dates entered.
    3. Overlap with Other Absences: The absence may overlap with another absence record for the same employee, leading the system to adjust the end date.
    4. Date Validation Rules: There may be validation rules in place that automatically adjust the end date based on certain criteria (e.g., weekends, holidays).

    Solution:

To resolve the issue, consider the following steps:

    1. Review Absence Quotas: Check the employee's absence quotas to ensure that they have enough balance for the requested absence type.
    2. Check Configuration Settings: Review the configuration settings in the SAP system related to absence management. This includes checking the maximum duration allowed for specific absence types.
    3. Examine Overlapping Absences: Look for any overlapping absence records for the employee. If there are conflicts, you may need to adjust the dates of the existing records or the new absence.
    4. Adjust Dates Manually: If the automatic adjustment is not appropriate, you may need to manually change the end date of the absence record to the desired date, provided it complies with the system's rules.
    5. Consult Documentation: Refer to SAP documentation or your organization's internal guidelines for managing absences to ensure compliance with policies.
