SAP Error Message - Details

  • Message type: E = Error

  • Message class: 5D - Error Messages for German Infotype Module Pools

  • Message number: 826

  • Message text: Caution: Retroactive acctg to previous year not possible for employee

  • Show details Hide details
  • What causes this issue?

The employment tax statement for this employee for the previous year
has already been created. This means that retroactive accounting with
the principle of origin is no longer possible.
Since the current retroactive date is not in the previous year, the
input of special rule E is permitted. However, if subsequent master
data changes necessitate a retroactive run to the previous year, this
can cause errors because the retroactive accounting differences cannot
be taken into account in the employment tax statement.
In this case, it is necessary to maintain the issue month on the
employment tax statement for the employee and to recreate the statement
    for the previous year.
The output month for the earnings tax statement can be maintained in
infotype 12, using the push button 'Output month earnings tax
statement', or directly in table T5D2M.

    System Response

If retroactive runs occur within the calendar year, this message can be
ignored. In other cases, see the notes specified above.

  • What is the cause and solution for SAP error message 5D826 - Caution: Retroactive acctg to previous year not possible for employee ?

The SAP error message 5D826 indicates that retroactive accounting to a previous year is not possible for a specific employee. This error typically arises in the context of payroll processing when there are attempts to make changes or adjustments to payroll data for a period that has already been closed or finalized.

    Cause:

    1. Closed Payroll Period: The payroll period for the employee has already been closed, and retroactive accounting is not allowed for that period.
    2. Year-End Processing: If the payroll year has been finalized (e.g., year-end closing activities), adjustments to prior periods may be restricted.
    3. Configuration Settings: The system may be configured to prevent retroactive accounting for certain types of changes or for specific employee groups.
    4. Data Locking: There may be data locking mechanisms in place that prevent changes to historical payroll data.

    Solution:

    1. Check Payroll Status: Verify the payroll status for the employee in question. If the payroll period is closed, you may need to reopen it if your business processes allow for that.
    2. Adjustments: If the payroll period cannot be reopened, consider whether the adjustments can be made in the current payroll period instead of retroactively.
    3. Consult with Payroll Administrator: Work with your payroll administrator or SAP support team to understand the specific configuration settings that may be causing this restriction.
    4. Use of Special Transactions: In some cases, SAP provides special transactions or reports that can be used to handle retroactive adjustments without violating the system's constraints.
    5. Documentation: Ensure that all changes and adjustments are well-documented to maintain compliance and for future reference.

    Related Information:

    • SAP Notes: Check SAP Notes for any specific guidance or patches related to this error message. SAP frequently updates its documentation and may have specific recommendations for your version.
    • User Roles and Authorizations: Ensure that the user attempting to make the changes has the necessary authorizations to perform retroactive accounting.
    • Testing in Development Environment: If possible, test the changes in a development or sandbox environment to understand the implications before applying them in production.
    • Training and Documentation: Ensure that payroll staff are trained on the implications of retroactive accounting and the processes involved in making adjustments.

If the issue persists after following these steps, it may be beneficial to engage with SAP support for further assistance.
