Message text: Change causes retroactive accounting before earliest period possible
A new accounting run for the trip being changed would lead to a
retroactive settlement for a period that is prior to the earliest period
possible as per the personnel control record or the earliest personal
retroactive payroll date. A new accounting run is therefore not
possible.
The system will prevent the change. This either directly concerns the
trip you want to change or indirectly concerns other trips that need to
be recalculated due to the attemped change (for example, due to mileage
accumulation).
Notify your payroll department.
The system issues an error message and will not allow you to continue with this transaction until the error is resolved.

PTRA_WEB_INTERFACE256
- Change causes retroactive accounting before earliest period possible ?The SAP error message "PTRA_WEB_INTERFACE256 Change causes retroactive accounting before earliest period possible" typically occurs in the context of payroll processing or time management when a change is made that affects historical data. This error indicates that the change being attempted would result in retroactive accounting that goes beyond the earliest period that the system allows for adjustments.
Cause:
- Retroactive Changes: The error is triggered when a change (like a salary adjustment, time entry, or other payroll-related changes) is made that would require the system to recalculate payroll for periods that are closed or not allowed for retroactive adjustments.
- Configuration Settings: The system may have specific settings that define the earliest period for which retroactive accounting is allowed. If the change affects a period earlier than this defined limit, the error will occur.
- Data Integrity: The system is designed to maintain data integrity and prevent changes that could lead to inconsistencies in payroll calculations.
Solution:
- Review Change Dates: Check the date of the change you are trying to make. Ensure that it does not affect any periods that are closed for retroactive accounting.
- Adjust Configuration: If necessary, review the configuration settings in the payroll module to see if the earliest period for retroactive accounting can be adjusted. This typically requires administrative access and should be done with caution.
- Consult Payroll Policies: Ensure that the changes you are trying to make comply with your organization's payroll policies regarding retroactive adjustments.
- Use Correct Transaction: If you are using a specific transaction to make changes, ensure that you are using the correct one that allows for the type of adjustment you are trying to perform.
