  • What is the cause and solution for SAP error message KE121 - Document number range is nearly full for record type & ?

The SAP error message KE121 indicates that the document number range for a specific record type in the Controlling (CO) module is nearly full. This typically occurs when the system is approaching the limit of available document numbers for a particular type of transaction or record.

    Cause:

    1. Document Number Range Exhaustion: Each record type in SAP has a defined number range. If the number of documents created approaches the upper limit of this range, the system will generate this warning message.
    2. Configuration Issues: The number range may not have been configured to accommodate the expected volume of transactions.
    3. Infrequent Maintenance: If the number range is not regularly monitored or adjusted, it can fill up without notice.

    Solution:

    1. Increase the Number Range:

      • Go to the transaction code SNRO (Number Range Objects).
      • Find the relevant number range object for the document type in question (for example, CO document types).
      • Adjust the upper limit of the number range to allow for more document numbers.
      • Ensure that the new range does not conflict with existing ranges.
    2. Create a New Number Range:

      • If increasing the existing range is not feasible, consider creating a new number range for the record type.
      • This can be done in the same SNRO transaction by defining a new number range object.
    3. Monitor Document Creation:

      • Regularly monitor the usage of document numbers to prevent future occurrences of this issue.
      • Set up alerts or reports to notify administrators when the number range is nearing its limit.
    4. Consult Documentation:

      • Review SAP documentation or consult with your SAP Basis or CO module team for best practices regarding number range management.

    Related Information:

    • Transaction Codes:
      • SNRO: Number Range Object Maintenance
      • OKB9: Maintain Number Ranges for CO Documents
    • SAP Notes: Check for any relevant SAP Notes that may provide additional guidance or updates related to number range management.
    • System Performance: Be aware that increasing the number range may have implications for system performance, especially if the volume of transactions is very high.

By addressing the number range issue proactively, you can prevent disruptions in the Controlling module and ensure smooth processing of transactions.
