  • What is the cause and solution for SAP error message WO804 - No authorization for folder & ?

    SAP Error Message:
WO804 No authorization for folder &

    Cause:

This error occurs when a user tries to access or perform an action on a folder in the SAP Work Order Management (Plant Maintenance) system but does not have the necessary authorization to do so. The placeholder "&" in the message typically represents the folder name or ID.

In SAP PM (Plant Maintenance), folders are used to organize work orders, notifications, or other objects. Access to these folders is controlled by authorization objects. If the user lacks the required authorization, the system prevents access and throws this error.

    Common Authorization Objects Involved:

    • I_WBS (Authorization for Work Breakdown Structure elements)
    • I_WO (Authorization for Work Orders)
    • I_EINK (Authorization for Purchasing Documents, if related)
    • I_OBJ (General Object Authorization)
    • I_FOLDER (Authorization for Folder Access) — specific to folder access in some SAP systems

    Solution:

    1. Check User Authorizations:

      • Use transaction SU53 immediately after the error occurs to check which authorization check failed.
      • Alternatively, use transaction ST01 (Authorization Trace) to trace the authorization checks for the user.
    2. Identify the Folder and Required Authorization:

      • Determine which folder the user tried to access (the "&" in the message).
      • Identify the authorization object and field values required to access this folder.
    3. Update User Roles/Profiles:

      • Add the necessary authorizations to the user's role/profile.
      • This may involve adding the folder ID or related organizational levels to the authorization object fields.
      • For example, if the folder is linked to a particular maintenance plant or work center, ensure the user has authorization for those organizational levels.
    4. Test Access:

      • After updating the roles, have the user log off and log back in.
      • Test the folder access again to confirm the issue is resolved.
    5. Consult Basis or Security Team:

      • If you do not have authorization to change roles, coordinate with your SAP security team.
      • Provide them with the SU53 or ST01 trace results for faster resolution.

    Additional Information:

    • This error is common in environments where folder access is tightly controlled for security or organizational reasons.
    • Folder authorizations help ensure that users only see and manage work orders or notifications relevant to their responsibilities.
    • Sometimes, the folder authorization is linked to other objects like maintenance plants, functional locations, or user groups.
    • If the folder is newly created or recently changed, verify that the authorization assignments have been updated accordingly.
