Message text: Entry invalid because retro accounting must be possible until & at least
You have entered a retroactive accounting limit or an archiving date.
If you entered an archiving date, the system tries to calculate a
retroactive accounting limit based on it. The system checks your date
entries to ensure that you are not archiving payroll data that is still
required for retroactive accounting or evaluations. Depending on
whether you entered a retroactive accounting limit or an archiving
date, the problem is as follows:
The retroactive accounting limit that you entered is not far enough in
the past.
The retroactive accounting limit that the system has calculated from
the archiving date that you entered is not far enough in the past.
Depending on whether you want to enter a retroactive accounting date or
an archiving date, do the following:
Enter a retroactive accounting date that lies before &V1&.
Enter an archiving date from which the system can calculate a
retroactive accounting date that lies before &V1&.
Note that when the system calculates a retroactive accounting date from
an archiving date, it always leaves a certain gap between the two
dates. This is necessary because:
The payroll data is still required for evaluations in the system.
You also need the data for the calculation of averages, if you
calculate averages in your system.
The necessary size of the gap between the two dates depends on
country-specific conditions. For further information, see the

PH300
- Entry invalid because retro accounting must be possible until & at least ?The SAP error message PH300, which states "Entry invalid because retro accounting must be possible until & at least," typically occurs in the context of personnel administration and payroll processing. This error indicates that there is an issue with the retroactive accounting period for payroll entries, which is crucial for ensuring that any changes in employee data (like salary adjustments, promotions, etc.) are correctly reflected in payroll calculations.
Cause:
The error is usually caused by one of the following reasons:
Retroactive Accounting Period: The date of the entry you are trying to process is outside the allowed retroactive accounting period. SAP has a defined period during which changes can be made retroactively, and if your entry falls outside this period, the system will not allow it.
Configuration Settings: The configuration settings in the payroll module may not be set correctly, leading to restrictions on retroactive accounting.
Employee Status: The employee's status (e.g., if they are terminated or on leave) may affect the ability to process retroactive changes.
Payroll Control Record: The payroll control record may be locked or not set up correctly for the period in question.
Solution:
To resolve the PH300 error, you can take the following steps:
Check the Retroactive Accounting Period:
- Verify the retroactive accounting period settings in the payroll configuration. You can do this by navigating to the relevant configuration in the SAP system (usually found in the IMG under Payroll settings).
- Ensure that the date of the entry you are trying to process falls within the allowed retroactive accounting period.
Adjust the Entry Date:
- If the entry date is outside the allowed period, consider adjusting the date to fall within the retroactive accounting window.
Review Employee Status:
- Check the employee's status to ensure that they are eligible for retroactive changes. If the employee is terminated or on leave, you may need to handle their payroll differently.
Unlock Payroll Control Record:
- If the payroll control record is locked, you may need to unlock it or ensure that it is set up correctly for the period you are trying to process.
Consult with Payroll Administrator:
- If you are unsure about the settings or how to proceed, consult with your payroll administrator or SAP support team for assistance.
