- Entry used elsewhere, cannot be deleted ?The SAP error message HRTIM00DW134: "Entry used elsewhere, cannot be deleted" typically occurs when you attempt to delete a time management entry (such as a work schedule, absence, or attendance record) that is still being referenced or used in other parts of the system. This is a common issue in SAP HR (Human Resources) modules, particularly in Time Management.
Causes:
- References in Other Records: The entry you are trying to delete is linked to other records, such as employee time records, payroll data, or other HR-related entries.
- Active Assignments: The entry may be actively assigned to employees or groups, making it impossible to delete until those assignments are removed.
- Data Integrity Constraints: SAP enforces data integrity, meaning that certain entries cannot be deleted if they are part of a larger dataset that is still in use.
Solutions:
Check for Dependencies: Before attempting to delete the entry, check if it is being referenced elsewhere. You can do this by:
- Reviewing related time records for employees.
- Checking if the entry is part of any active payroll runs or reports.
- Looking for any active assignments in the relevant infotypes.
Remove References: If you find that the entry is being used:
- Remove or update any references to the entry in related records.
- If it’s a work schedule, ensure no employees are currently assigned to it.
Use Transaction Codes: Utilize specific transaction codes to analyze and manage the entries:
- PA20 (Display HR Master Data) to check employee assignments.
- PA30 (Maintain HR Master Data) to modify or delete assignments.
- PT60 (Time Evaluation) to check time data.
Consult with HR or IT: If you are unsure about the dependencies or how to safely remove them, consult with your HR department or IT support team. They may have additional tools or reports to help identify the issue.
Archiving: If the entry is no longer needed but cannot be deleted due to references, consider archiving the data instead, if your organization has an archiving strategy in place.
