How To Fix WA621 - Instance linkages event & receiver & cannot be deleted

SAP Error Message - Details

  • Message type: E = Error

  • Message class: WA - Messages from Workflow Event Manager

  • Message number: 621

  • Message text: Instance linkages event & receiver & cannot be deleted

  • Show details Hide details
  • What causes this issue?

The instance linkages for the specified receiver cannot be deleted.

    System Response

    The action was terminated.
The entries in the instance linkage table are not changed.

    How to fix this error?

To minimize the size of the instance linkage table, the entries in the
table are deleted as soon as possible. This means deletion is attempted
    at different times:
After the event (the last event for which this linkage is required) has
    been received.
When deleting the receiver with the specified ID.
If the receiver is set to a status in which it can no longer receive
any events (for work items these are, for example, the statuses
    <ZH>waiting</>, <ZH>error</>, <ZH>logically deleted</> and
    <ZH>completed</>).
This error message may therefore have been triggered because the
relevant linkage had already been deleted beforehand (e.g. if a work
item is deleted which was already in the status <ZH>completed</>).
As it is generally attempted in the case of work items to delete a
possible instance linkage when a transition to one of the statuses
listed above occurs, this error message can also appear even if the
work item was never entered in an instance linkage.
However, this cannot be checked at the time when the (possible) error
    is found.
If you receive this error and do not know whether the work item was
used in an instance linkage table, check existing entries in the
instance linkage table (for example using transaction
<DS:TRAN.SWEINST>SWEINST</>). If there are no longer any entries for
the specified tuple pair, you can ignore the error message. Otherwise
contact you workflow system administrator so that the instance linkages
which were not deleted can be removed.

  • What is the cause and solution for SAP error message WA621 - Instance linkages event & receiver & cannot be deleted ?

The SAP error message WA621: Instance linkages event & receiver & cannot be deleted typically occurs in the context of Workflow or Event Linkages in SAP. This message indicates that an attempt to delete an event linkage (which connects an event to a receiver object) failed because the linkage is still in use or has dependencies that prevent its deletion.

    Cause

    • Active Linkage: The event linkage you are trying to delete is currently active or assigned to a workflow or receiver object.
    • Dependencies Exist: There are dependent objects or workflows that rely on this linkage, so SAP prevents deletion to maintain data integrity.
    • System Lock or Incomplete Cleanup: Sometimes, the linkage might be locked by a running workflow or incomplete cleanup of previous workflow instances.
    • Authorization Issues: The user attempting deletion may lack the necessary authorizations to delete the linkage.

    Solution

    1. Check Dependencies:

      • Use transaction SWEL (Event Log) or SWI1 (Work Item Selection) to check if there are any active workflows or work items related to the event linkage.
      • Identify if any workflows are still using the event linkage.
    2. Delete or Complete Dependent Workflows:

      • If workflows are active, either complete or cancel them.
      • Remove or reassign any dependent workflows or receivers.
    3. Use Transaction SWETYPV (Event Linkage Maintenance):

      • Go to SWETYPV to display and manage event linkages.
      • Check the linkage status and try to delete it again after ensuring no dependencies exist.
    4. Check Authorizations:

      • Ensure the user has the necessary authorization objects, such as S_WF_EVL (Event Linkage Maintenance) or related workflow authorizations.
    5. System Cleanup:

      • If the linkage is locked or stuck, consider restarting the workflow runtime or system to clear locks.
      • In rare cases, consult SAP Notes or Basis team for cleanup programs or manual database cleanup.
    6. SAP Notes and Support:

      • Search for relevant SAP Notes using the error message or related keywords.
      • If the problem persists, raise an OSS ticket with SAP Support including detailed logs and system information.
