  • What is the cause and solution for SAP error message HRPAYAT_3670027 - A data record already exists for &1 &2 ?

The SAP error message HRPAYAT_3670027 indicates that a data record already exists for the specified employee (represented by placeholders &1 and &2). This error typically occurs in the context of payroll processing or personnel administration when there is an attempt to create or update a record that already exists in the system.

    Cause:

    1. Duplicate Entry: The most common cause of this error is that there is an attempt to create a new record for an employee that already has an existing record for the same data type (e.g., payroll, infotype).
    2. Incorrect Data Entry: Sometimes, incorrect or incomplete data entry can lead to the system interpreting the input as a duplicate.
    3. Timing Issues: If multiple processes are trying to update the same record simultaneously, it can lead to conflicts and this error.
    4. Configuration Issues: There may be issues with the configuration of the infotypes or payroll areas that lead to unexpected behavior.

    Solution:

    1. Check Existing Records: Verify if a record already exists for the employee in question. You can do this by checking the relevant infotypes (e.g., IT0000, IT0001, etc.) in the SAP system.
    2. Correct Data Entry: Ensure that the data being entered is correct and does not duplicate existing records. If you are trying to create a new record, make sure it is for a different period or type.
    3. Use Transaction Codes: Use transaction codes like PA20 (Display HR Master Data) or PA30 (Maintain HR Master Data) to view and manage existing records.
    4. Consult with HR Team: If you are unsure about the data or the process, consult with your HR team or SAP support team for guidance.
    5. Check for Locks: If the error is due to timing issues, check if there are any locks on the records that might be causing the conflict.
    6. Review Configuration: If the issue persists, review the configuration settings related to payroll and infotypes to ensure they are set up correctly.
