The SAP error message GR685 indicates that a report or library is currently being edited by another user or process. This can occur in various scenarios, such as when multiple users attempt to edit the same report or when a report is locked due to an ongoing process.

    Cause:

    1. Concurrent Editing: Another user is currently editing the same report or library.
    2. Locking Mechanism: SAP uses a locking mechanism to prevent data inconsistencies. If a report is being edited, it will be locked for other users.
    3. Unfinished Processes: A previous editing session may not have been properly closed, leaving the report in a locked state.

    Solution:

    1. Check for Other Users: Verify if another user is currently editing the report. You can do this by checking the user sessions or asking your colleagues.
    2. Wait and Retry: If another user is editing the report, you may need to wait until they finish and release the lock.
    3. Release Locks: If you suspect that the report is locked due to an unfinished session, you can try to release the lock. This can typically be done by:
      • Using transaction code SM12 to view and delete user locks.
      • Identifying the user who has the lock and, if appropriate, asking them to release it.
    4. Check Background Jobs: If the report is being processed in the background, check transaction SM37 to see if there are any jobs running that might be holding the lock.
    5. Contact SAP Support: If the issue persists and you cannot identify the cause, consider reaching out to your SAP support team for assistance.

    Related Information:

    • Transaction Codes:
      • SM12: To view and manage locks.
      • SM37: To check background jobs.
      • SE80: To access the Object Navigator, where you can check the status of reports and libraries.
    • User Management: Ensure that users are aware of the locking mechanism and coordinate editing efforts to avoid conflicts.
