  • What is the cause and solution for SAP error message GP705 - The planning record already exists ?

The SAP error message GP705, which states "The planning record already exists," typically occurs in the context of SAP's Human Capital Management (HCM) module, particularly when dealing with personnel planning or organizational management. This error indicates that there is an attempt to create a planning record (such as a position, job, or employee record) that already exists in the system.

    Causes:

    1. Duplicate Entry: The most common cause is that a planning record with the same key (e.g., employee ID, position ID) already exists in the database.
    2. Incorrect Data Entry: Users may inadvertently enter data that matches an existing record.
    3. System Configuration: There may be issues with the configuration of the planning area or the planning process that allow for duplicate entries.
    4. Data Migration Issues: If data has been migrated from another system, duplicates may have been created during the migration process.

    Solutions:

    1. Check Existing Records: Before creating a new planning record, check the existing records to ensure that the record you are trying to create does not already exist. Use transaction codes like PA20 (Display HR Master Data) or PA30 (Maintain HR Master Data) to search for existing records.

    2. Modify Existing Record: If a record already exists and needs to be updated, modify the existing record instead of creating a new one.

    3. Data Validation: Implement data validation checks in the user interface to prevent users from entering duplicate records.

    4. Review Configuration: If the issue persists, review the configuration settings in the planning area to ensure that they are set up correctly to prevent duplicates.

    5. Consult Documentation: Refer to SAP documentation or notes related to the specific module you are working with for any additional guidance or known issues.

    6. Contact SAP Support: If you are unable to resolve the issue, consider reaching out to SAP support for assistance, especially if you suspect a bug or system issue.

    Related Information:

    • Transaction Codes: Familiarize yourself with relevant transaction codes such as PA20, PA30, and others related to personnel planning.
    • SAP Notes: Check SAP Notes for any updates or patches that may address this issue.
    • User Training: Ensure that users are trained on how to properly enter and manage planning records to minimize the risk of duplicates.
