- Year-dependent data exists, deletion is not possible ?The SAP error message GP614 ("Year-dependent data exists, deletion is not possible") typically occurs in the context of personnel administration or payroll when you attempt to delete or modify certain data that is year-dependent, such as infotypes that have historical records or data that is tied to a specific fiscal year.
Cause:
Year-Dependent Data: The error indicates that there is existing data for the specified year that prevents the deletion of the record. This could be due to various reasons, such as:
- Payroll results for that year.
- Historical records that are still active.
- Data that is linked to other infotypes or records.
Data Integrity: SAP enforces data integrity rules to ensure that deleting certain records does not lead to inconsistencies in the database.
Solution:
To resolve the GP614 error, you can take the following steps:
Check Existing Data: Review the infotype records for the employee in question. Look for any year-dependent data that may be preventing deletion. You can do this by:
- Using transaction codes like PA20 (Display HR Master Data) or PA30 (Maintain HR Master Data) to view the infotypes.
- Checking for payroll results or other infotypes that may have data for the year in question.
Delete or Archive Data: If you find that there are records that are no longer needed:
- Consider archiving the data instead of deleting it, if applicable.
- If payroll results exist, you may need to reverse or delete those payroll results first before you can delete the infotype.
Consult with HR or Payroll Team: If you are unsure about the implications of deleting certain records, consult with your HR or payroll team to ensure that you are not violating any data retention policies or affecting payroll calculations.
Use Transaction Codes: If you need to delete payroll results, you can use transaction codes like PC00_MXX_CALC (where MXX is your country code) to run payroll and then delete the results.
Authorization: Ensure that you have the necessary authorizations to delete or modify the records in question.
