This error typically arises in the context of personnel administration or master data management, where the system is trying to link a file number (such as a social security number or employee ID) to a record, but the names associated with those records do not match.
Cause:
Name Mismatch: The primary cause of this error is that the name associated with the file number does not match the name in the SAP system. This could be due to:
- Typographical errors in either the file number record or the SAP record.
- Changes in a person's name (e.g., marriage, divorce) that have not been updated in the system.
- Different formats or spellings of names (e.g., using initials, nicknames, etc.).
Data Entry Errors: Incorrect data entry during the creation or update of personnel records can lead to mismatches.
Integration Issues: If data is being imported from another system, discrepancies in naming conventions or data formats can cause this error.
Solution:
Verify Names: Check the names associated with the file number and the SAP record. Ensure that they match exactly, including spelling, initials, and any special characters.
Update Records: If there is a legitimate name change (e.g., due to marriage), update the name in the SAP system to reflect the correct name associated with the file number.
Correct Data Entry: Review the data entry processes to ensure that names are entered consistently and correctly. Implement validation checks if necessary.
Consult Documentation: Refer to SAP documentation or your organization's guidelines for handling personnel records and file number assignments.
Contact Support: If the issue persists after verifying and correcting the names, consider reaching out to your SAP support team or consulting with a technical expert who can help diagnose and resolve the issue.
